Position Purpose: The Senior Event Producer of PRA Nashville is responsible for providing quality service in managing and coordinating the execution of higher level assigned programs. The Senior Event Producer is responsible for the program development, planning, execution, client satisfaction, and PRA program profitability. Must possess exceptional communication skills and be adept at listening to a client's needs, analyzing the group profile and providing concise information, program direction, creative options and logistical solutions to clients.

Qualifications

  • Minimum two years' experience in the Business Events Company, DMC, hospitality or event planning industry
  • Exceptional communication skills; verbal and written, telephone and email etiquette, able to direct a client effectively throughout the program planning process
  • Experience managing transportation for Clients
  • Experience working with budgets
  • Highly proficient in Word, Excel, PowerPoint, Outlook
  • Ability to promote PRA and its product to clients, suppliers, staff and other members of the general public
  • Works well with management, peers, clients, suppliers and field staff
  • Ability to successfully operate with ambiguous and changing deadlines
  • Ability to work flexible hours; weekends, evenings, holidays and to travel to venue locations as needed
  • Possess a professional manner and appearance when representing PRA with clients and supplier/partners
  • Ability to perform multiple projects simultaneously and prioritize responsibilities and work assignments.
  • Ability to maintain confidentiality and a high level of business ethics.
  • Conflict resolution skills, ability to remain calm under pressure of deadlines, upset staff or clients

  • Establish and maintain continuing high level personal and professional contacts with business and community groups, and industry organizations for the purpose of marketing the services provided by the Company and for purpose of maintaining full knowledge of current and changing information related to the Company and industry.

 

Responsibilities

  • Production of all high profile client accounts.
  • Execute all aspects of the client program to include:
    • Establish turnover meeting with Sales Manager where Operations Manager will become familiarized with the file and the services Destination Nashville has contracted to provide
    • Review Contract for Services and Proposals prior to file turnover and prepare questions to discuss during turnover.
    • Review and understand the Contract for Services with Sales Manager
    • Organize client file to begin operations on program using the Operations checklist as a guideline.
    • Upon receipt of file confirm venues and resources to be used to provide the service to the client, keeping accurate records and documentation of all conversations
    • Coordinate all program staffing needs and ensures that all hired field staff members are adequately prepared and briefed on the program
    • Coordinate and contract, with all vendors for each of the program elements and maintain contact with the vendor on the status and details of the event.
    • Create and maintain program budget worksheet for each client.
    • Use program budget worksheet to track all vendor and staff payments and request all necessary vendor checks from Finance manager in a timely manner.
    • Establish, maintain and continually update records of client activities within MarkoSoft with client requests, changes, additions and deletions.
    • Throughout the pre-production stage, maintain high level personal contact with client for the purpose of quality control, grow the program opportunities and complete client satisfaction.
    • Produce detailed and professional Schedule of Services to be distributed in a timely manner prior to beginning of program to all staff, venues, vendors, etc.
    • Interface with the client on-site throughout the program as needed
    • Serve as on-site contact for hoteliers, vendors and on-call staff
    • Prepare complete final invoice within five (5) days of last day of production and generates post program communication to client and vendors. Copy final invoice to Finance Manager & VP of Business Operations
    • Ensure that the profitability of each client program meets company and contract goals
    • Maintain open lines of communication throughout the company paying special attention to keeping Sales Managers advised on the status of their client program.
    • Participate in site inspections as required by sales and clients.
    • Creation of proposals and contracts as needed
    • "Grow" contracted programs. "Growing the Program" shall be defined as products and services not discussed with customer in pre-contractual stage of negotiation. The success rate of each Managers individual programs will be evaluated at quarterly performance reviews
  • Monitor and assist with the work load of the Operations Managers
  • Give input on all employees that report to Senior Event Producer to be used by Director of Operations for performance reviews.
  • Maintain up-to-date standard operating procedures to be followed by all Operations team members
  • Ensure that all Operations Managers and Coordinators know what their jobs are and are given the tools to perform them
  • Assist with training and development Operations Manager (s), Senior Operations Coordinator (s) and Operations Coordinator (s)
